Job Description:

The Administrative Assistant/Receptionist will provide administrative support across the West Palm Beach office, coordinate office events as well as act as the Executive Assistant to two of our Senior Executives.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook etc.)
  • Order front office supplies and keep inventory of stock and kitchen supplies
  • Update calendars and schedule meetings
  • Arrange travel and accommodations to Senior Executives in which you support

Requirements

  • 3 – 5 years’ experience as an Executive Assistant, Front Office Representative or similar role
  • High School Degree required; Bachelors Degree preferred
  • Proficiency in Microsoft Office Suite
  • Professional attitude and appearance
  • Excellent written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
